» DEADLINES

» PHOTOS

Print or type all photo captions. Include a list of photo captions at the end of your column. Do NOT write on the backs of your photos (please pass this info on to your classmates). Ink or marker on the back of one photo rubs off on the one beneath it in the pile. Use photo tags. Submit only good-quality photos. Scanned photos are only acceptable at 300dpi and saved as tif files. Digital photos are acceptable. They must be in large format. Set your camera to its best or fine mode, which will give you the maximum image size for your camera. After the image is taken, there is no way to appreciably improve its quality.

1.0 – 1.9 megapixels, at this setting will be 1,280 x 960 pixels
2.0 – 2.9 megapixels, at this setting will be 1,600 x 1,200 pixels
3.0 – 3.9 megapixels, at this setting will be 2,048 x 1,536 pixels
4.0+ megapixels, at this setting will be 2,272 x 1,704 pixels

The more megapixels the camera is capable of, the more detail in the photo! The lowest that can be used is 1.0 – 1.9 megapixels. Any changes to the photo either in size or content will reduce the quality of the photo. The digital files should be submitted as they come from the camera. The only exception is with a photo taken in “raw format” that will need to be converted. See the manual that comes with the camera for information. It is best to save the image as a jpg file once. Every time a jpg file is saved, valuable pixels are lost, compromising image quality. This information can be found at www.aogusma.org/PUBS/digitalspecs.htm.

» PUNCTUATION

Use a serial comma (e.g., Tom, Joe, and Bill). Use only ONE space after each punctuation mark.

» NUMBERS

Spell out one through eleven. Use numerals for all other numbers except Army Corps (Roman) and Armies (spell out), e.g. three-year-old granddaughter; 4-67 Armor; 25th Infantry, V Corps; Third Army; 100th Nite; three mi.; 100 m; 1st, 2nd, 3rd; 5' 6".

» DATES

2 Jan 96, 2 January, or January 1996; 1961, 1981, but Class of ’81; 1960s, 1970s, etc.

» STATES

Always use postal abbreviations for states in conjunction with cities or towns. “She went to Alexandria, VA, and then to Lexington, KY.” — but “She traveled to Virginia and Kentucky.”

» MISCELLANEOUS

“Song titles” — roman, quoted, e.g., “Army Blue”
Book, magazine, newspaper, movie title, play, painting, newsletter, thesis, speech, bulletin — italic; e.g., New York Times, Quo Vadis
TV shows — Series — italic; e.g., The Practice, ER, Who Wants to be a Millionaire
TV shows — “Episode” — roman, quoted
Ship names — italic; e.g., Titanic, Lusitania, but not the USS in USS Missouri

» CLASS ADS

All class reunion classes are encouraged to submit a class ad to the advertising manager for inclusion in either the May or September issue of ASSEMBLY. Contact Trish Roberts at Ads@aogusma.org or 845 446-1626.

» SUBMISSION DEADLINES

Submission is due two months in advance of the publication month. ASSEMBLY usually is printed and mailed during the last week of the month prior to the publication month (e.g., 25–28 Sep for the Nov/Dec issue, etc.).

The due dates may alter slightly in a given year depending on what day of the week the first of the month falls. Specific dates will be submitted to Class Scribes each year. Please understand that if your submission is late, it will be placed at the very end of “Class Notes,” in the “Late Rank,” if there is room and time to include it. Class Scribes receive a final proof of their “Class Notes” pages about 30 days after the deadline.

» FORMAT OF SUBMISSIONS

  • If you do not submit a disk, please make sure your copy is dark and readable. These submissions are scanned — light dot matrix printouts and fax copies are difficult for the scanning software to decipher.

  • Single-space your submissions (not to exceed two pages).

  • LEFT justify your columns of text.

  • If you submit your column on a disk, please include a hard copy and identify the software used.

  • If you send your column by e-mail, include a hard copy in the mail with your photos.

  • Normal 12 pt. Times New Roman type, one-inch margin on all sides.

» STYLE

  • Boldface the names of classmates & spouses. Spouses are part of the class, too, and should be highlighted in this way.

  • Do NOT use ALL CAPS for names that should be bold. (We then have to convert these to caps and lower case.) If your word-processing program or typewriter cannot do boldface type, underline the names instead.

  • Use an ampersand (&) to indicate married couples. Don’t use it anywhere else unless it’s included in a company or product name.

  • The use of abbreviations has been reduced. Continue to use well-known military acronyms such as TDY, CAS3, and CGSC.
